Content You Upload: Shootbin is designed for photo proofing workflows. This means you may upload images, photo albums, and related content. We store and process these files solely to provide you with our services. Any photos or albums you upload remain your property.

Client Data: When you invite clients or collaborators to review photos, we may collect their email addresses and any feedback they provide through the platform.

Usage Information: We collect information about how you interact with Shootbin, including log data, device information, and usage patterns. This helps us improve our services and troubleshoot issues.

Payment Information: If you subscribe to a paid plan, payment processing is handled by our third-party payment provider (Mollie). We do not store your full credit card details on our servers.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Providing and maintaining our photo proofing services
  • Processing your account registration and managing your subscription
  • Enabling collaboration features, such as inviting clients or reviewers to review photos
  • Sending you service-related notifications and updates
  • Responding to your inquiries and providing customer support
  • Analyzing usage patterns to improve our platform's functionality and user experience
  • Detecting, preventing, and addressing technical issues or unauthorized use
  • Complying with our legal obligations

3. How We Share Your Information

We do not sell, trade, or rent your personal information to third parties. We may share your information in the following circumstances:

  • Service Providers: We work with trusted third-party service providers who assist us in operating our platform, including cloud storage providers and payment processors. These providers are contractually bound to protect your information and use it only for the services we request.
  • Collaborators: When you invite clients or team members to a project, they may have access to the specific photos and albums you share with them.
  • Legal Compliance: We may disclose your information if required by law, court order, or governmental regulation, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

4. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with our services. You may request deletion of your account and associated data at any time. Upon account deletion, we will remove your personal information from our active systems within 30 days, though backup copies may persist for a reasonable period.

Photos and albums you upload are retained until you delete them or your account is closed. We may retain usage data in anonymized form for analytics purposes.

Hobby accounts may be deleted automatically after prolonged inactivity:

  • After approximately 90 days of inactivity, we send a friendly reminder.
  • After approximately 120 days of inactivity, we send a deletion warning containing the specific planned deletion date.
  • If there is still no new activity, the account may be deleted 14 days after the warning.
  • Signing in again cancels the scheduled deletion and records new account activity.

When the account is deleted, its projects, albums, photos, and other associated account content may also be deleted.

Billing, security, dispute, and other information that must be retained by law may be stored separately for as long as required. We therefore do not guarantee immediate deletion of every record in every system.

The reminder, deletion warning, and deletion confirmation are necessary account-management service emails, not marketing emails.

You can also delete your account sooner through your account settings.

5. Data Security

We take the security of your data seriously. We implement industry-standard security measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit (TLS/SSL), access controls, regular security assessments, and secure data storage practices.

While we strive to protect your information, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we are committed to maintaining appropriate safeguards.

6. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate or incomplete information.
  • Deletion: Request deletion of your account and associated data.
  • Restriction: Request that we limit how we use your information.
